Background

The Oxford University Clinical Research Unit (OUCRU) is a large-scale clinical and public health research unit, with sites offices in Ho Chi Minh City and Hanoi in Vietnam, Jakarta in Indonesia and Kathmandu in Nepal. In Vietnam, we are hosted by the Hospital of Tropical Diseases (HTD) in Ho Chi Minh City, and the National Hospital for Tropical Diseases (NHTD) in Hanoi. OUCRU Nepal has partnerships with the Patan Academy of Health Sciences and Patan Hospital, and OUCRU Indonesia exists in partnership with the University of Indonesia. As a Wellcome Trust Africa Asia Programme, we have received considerable support from the Wellcome Trust since our establishment in 1991.

OUCRU’s vision is to have local, regional and global impact on health by leading a locally driven research programme on infectious diseases in Southeast Asia. Priority is given to health issues important to the hospitals where we work, and to the countries as a whole where we operate: Vietnam, Indonesia and Nepal. All work is intended not only to benefit the patients seen daily at our host hospitals, but also to help improve patient care.

OUCRU employs approximately 320 people across Viet Nam and has an average annual budget of USD 12mil.

Job summary

A highly motivated Administrator is required to manage the implementation of Administration; to support and develop the current activities of the Researches; ensure efficient and high quality research operations in line with international standards; to contribute to the continued growth and development of the organization.

Key responsibilities and tasks

Ensure compliance with OUCRU-VN policies and procedures

Prepare logistics for CTU meetings and workshops

Perform other general administrative tasks and tasks assigned by the management

Maintain good relationship with partners

Data entry and data verification of studies

Conducting purchase request & D365 (order stationary, consumable, …)

Photocopy (request, photo, payment)

Preparing consumables for study hospitals/sites

Scanning ICF/CRF & other documents

Booking meeting room & checking facilities

Providing administration support to ethic committee submission

Tracking deadline: GCP certificate, IRB approval (local IRB & OxTREC), study PA/contracts

Code, receive and file incoming letters, documents for CTU

Translate study documents (Vietnamese – English – Vietnamese)

Attending administrative and CTU meetings, taking minutes and keeping notes

Develop and maintain good working relationships with all relevant local governmental bureaus, agencies and authorities

Maintain office efficiency, plan and implement office systems

Execute study-related administrative tasks

Ensure rules and procedures in place regarding working hours, lunch, office closure and communications about security

Create, control, and monitor all administrative requirements of other departments.

Monitor on-going activities and revise contracts

Maintain stationary supplies and coordinating deliveries for CTU

Supplier managements: photo, printing, furniture, mail & post…

Selection criteria

Essential:

–          Proven work experience as an administrator

–          Strong administrative, organisational and interpersonal skills

–          PC literacy and experience with MS Office applications

–          Strong data management with excellent accuracy

–          Demonstrated ability to maintain high levels confidentiality

–          Ability to manage workloads and priorities within tight deadlines and meet operational targets

–          Proven ability to work independently and also as part of a team

–           Fluency in English and Vietnamese

–          BA degree in business administration or relevant field

Desired:

–           Working experience with NGO or international organizations is an advantage

Benefits

–          Contracted salary:  Negotiable (depending on actual experience and education).

–          Two months’ salary for annual bonus and clothes

–          Annual leave 18 days each year for the first year
